Bundle Business Security Policy
We take information security very seriously at The Bundle Business Ltd . We are aware that in using us to process personal information you need to know what steps we take to protect the security of that information pursuant to your obligations under the Data Protection Act as “data controllers”. This policy sets out in clear terms how we achieve this and should be read alongside our data protection and privacy policies.
Electronic security
We use user accounts for the upload and download of confidential documents because of the security risk of sending or receiving documents by email. No information transferred over the Internet or wireless network can be guaranteed to be completely secure. An email is like a postcard and can be read at any point along its route from sender to recipient. We cannot therefore accept responsibility and hereby exclude all liability for any interception of, unauthorised access to, or loss of communications containing personal information that is beyond our control.
We have an SSL system for our website. SSL stands for "Secure Sockets Layer" which is a protocol for transmitting private documents via the Internet in a secure way. With an SSL certificate we are able to encrypt data between our server and your computer. Our domain name is assigned with a dedicated IP address. A dedicated IP is essential for the SSL Certificate as the Secure URL accessed by a visitor to our site gets encrypted with the public key which loads in your browser and the encrypted data is then decrypted on the web server using a private key which remains stored in a hidden location on the server. No one can see your data or decrypt the SSL secured data unless they manage to get the private key from the hidden location on the server.
In addition when we have collated your finished bundle the file is encrypted by us before it is uploaded onto your website portal for download by you. As a general rule the more bits used for the encryption the stronger it will be, so 128-bit is stronger than 64-bit. We use at least 128 bit encryption.
We have installed a firewall, anti-spyware and virus checking software on our individual computers that collate documents into bundles.
We take a back up of the information on our computer system every day and keep these records in a separate and secure place away from our office premises overnight.
Physical security
Our offices have an alarm system which includes CCTV, good quality door and window locks and the access to our working area is restricted and supervised. Paper copies of documents are kept in locked cabinets. Any paper waste is shredded.
When you send paper documents to us we recommend that you either send them by recorded post, secure courier or through the document exchange system. When we arrange for delivery of the paper bundle to the court on your behalf we will use the document exchange system. In instructing us you accept any security risk in using the document exchange system. In the event that delivery of the paper bundle is too urgent to send the documents to the court through the document exchange we will make them available only to a courier that has been arranged directly by you and will confirm your authority before releasing them.
