Bundle Business Privacy Policy

Our mission

The Bundle Business Ltd is committed to protecting your privacy. We comply with the principles of the Data Protection Act 1998 and aim to maintain consistently high levels of best practice in our processing of personal and/or sensitive personal data.

All references in this Privacy Policy to the “website” or “site” refer to this website www.bundlebusiness.co.uk; to “you” and “your” are to you, the user; and to “we”, “us” and “our” are to The Bundle Business Ltd.

Our own security procedures mean that we will always request proof of the identity of your practice before providing a service to you and we may also request confirmation of identity from time to time during our contract with you.

Disclosure of personal information

When we provide court bundles on behalf of legal professionals we may need to share personal information contained in those court bundles with the organisation concerned and with other relevant parties involved in the litigation. Accordingly clients requesting a service must ensure that they obtain the requisite consent from their client to disclose their personal information to us. By providing any personal information to us, the client agrees that it has obtained such consent. Please note that registered users will be unable to upload documents for collation by us into court bundles until confirmation that the relevant consents have been obtained is provided. The client shall indemnify The Bundle Business Ltd in respect of any costs, claims, fines or expenses suffered or incurred by The Bundle Business Ltd as a result of a failure to obtain the requisite consents.

Cookies

Cookies are text files or code that can be used for many purposes including tracking and identifying your computer to other computers. The Bundle Business website only uses "session cookies" which are cookies that last only for the current browser session. When you close your browser it wipes out all of these cookies from your computer.

When someone visits our website we collect standard internet log information and details of visitor behavior patterns. We do this to find out things such as the number of visitors to the various parts of our website. We collect this information in a way which does not identify anyone. We do not make any attempt to find out the identities of those visiting our website.

We use Google Analytics to help analyse use of our website. This analytical tool uses session 'cookies', which are text files placed on your computer, to collect standard internet log information and visitor behaviour information in an anonymous form. The information generated by the cookie about your use of the website (including your IP address) is transmitted to Google. This information is then used to evaluate visitors’ use of the website and to compile statistical reports on website activity for the Bundle Business Ltd.

The Bundle Business Ltd will not (and will not allow any third party) to use the statistical analytics tool to track or to collect any personally identifiable information of visitors to our site. We will not associate any data gathered from this site with any personally identifying information from any source as part of our use of the Google statistical analytics tool. Google will not associate your IP address with any other data held by Google. Neither the Bundle Business Ltd nor Google will link, or seek to link, an IP address with the identity of a computer user.

The search engine on our website is designed to be as powerful and easy to use as the popular search engine Google. The search is made possible by a piece of hardware (a search ‘appliance’) supplied by Google that is plugged into our server and continuously indexes the content on our site. All search requests are handled by the appliance and the information is not passed on to any third party, including Google. If we do want to collect personally identifiable information through our website, we will be upfront about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

When you log onto our website using your registered account portal your computer is sent a “session cookie” which is erased when that particular session ends. This cookie identifies your username and your password which is encrypted. The sole purpose of this cookie is to validate your right of access and to facilitate your interface with our site for, and only for, that single session. Permanent cookies are not used on our site.

What we do with your information

The Bundle Business Ltd does not offer any service directly to the public: it offers a service to other legal professionals who are registered as Data Controllers in their own right. We have to hold the details of the legal professionals who have requested the service in order to provide the service. When businesses fill in their notification forms, they are asked to provide the contact details of a relevant member of staff. However, we only use these details to provide the service the person or organisation has requested and for other closely related purposes. For example, we might use information about people who have requested information about the service to carry out a survey to find out if they are happy with the level of service they received. We use the information we receive from you to provide services that you request, to communicate with you, and to personalise our information sent to you. We may also use the information we collect to occasionally notify you about important functionality changes to the website. We do not sell, trade, or rent the personal information you provide to others.

We ask for your office, mobile telephone number, and email address to enable us to contact you in relation to an enquiry you have made, to contact you about relevant products or services, to contact you if there is a problem with your order, or there is another genuine reason for doing so.

Personal information may be disclosed to the police and law enforcement agencies for the purpose of fraud detection, crime prevention and national security. We may also disclose information to protect us in respect of our legal or contractual obligations.

If we enter into a joint venture with, or we are sold to, or merged with another business entity or our assets are purchased by another company, your personal information may be disclosed to our new business partners or owners and used for the same purposes for which we use them.

In order to provide you with the services requested, we may provide your information to third party service providers who provide services on our behalf. If we provide information to a third party we will require the third party to, and will require it to ensure that any of its agents and/or suppliers:

  • maintain the security and confidentiality of the information and restrict access to those of its own employees engaged in providing the services;
  • use the data for the agreed purpose only and prevent it being used for any other purpose by any other party;
  • refrain from communicating with you other than concerning the service in question;
  • return the data to us at the conclusion of the contract and destroy or delete any copies made of all or any part of the information unless copies are needed to be kept to comply with its legal obligations.

In addition, we will restrict the information disclosed to that which is necessary to provide the product or service.

The Bundle Business Limited (and any other party which may in future take over substantially the whole of the business currently carried out by the Bundle Business Limited), may use your information to contact you by telephone, SMS, e-mail and post, about our goods and services that may interest you, unless you have unticked the box on our contact form. If you would rather not receive this information, please untick the box. Please note that if you do not untick the box, you will be deemed to have consented to receiving this information.

Storage of Information

We store all the information you provide to us, including information provided via forms you complete on our website, and information which we may collect from your browsing. Our server, in common with nearly all web servers, logs each page that is downloaded from the site.

If you provide us with credit or debit card details in order to pay for a service or product, we will keep such details secure and ensure that the details are only used further with your consent and/or for the purposes of any appropriate refunds. For this reason any credit card payment is not a transaction completed on line.

We employ security measures to protect your information from access from unauthorised persons and against unlawful processing, accidental loss, destruction and damage. Please see our separate security and Data Protection policies.

Some non-EEA countries do not afford the same level of data security as the UK. The Bundle Business Ltd does not therefore use service providers or organisations outside the EEA for the purpose of processing services, system testing or maintenance without your consent.

Communication by email

Any email is the electronic equivalent of a mailed postcard. The electronic equivalent of a sealed envelope is encrypted email. Any e-mail correspondence sent between us is not encrypted and therefore is not secure and you should be aware of this before sending or accepting correspondence by email from us.

Links to other websites

This privacy notice does not cover the links within this site linking to other websites. We encourage you to read the privacy statements on the other websites you visit. However we wish to state very clearly that we do not use Adobe Flash MacroMedia (AFMM) as a standard Default on our website. However if AFMM is set as default on your computer then when you contact our website, AFMM permits our site and any hosted button (link) on our site to plant code on your computer. For this reason we strongly recommend that if you have not already done so you disable that aspect of AFMM on your own computer and consider very carefully whether you wish to use the link button on our website. We also recommend that you ensure that the settings of AFMM on your computer permits AFMM to deposit cookies or other code on you which is acceptable to you and not otherwise.

Changes to information

Please advise us in writing as to any changes in the personal data you provide to us. Obviously it is preferable for us to retain up to date information. We will amend details as required. We are however obliged and permitted by law and regulation to retain certain types of data for a minimum period of time. The minimum period of time tends to be for six years but can be longer if the statute or regulation requires.

Complaints or queries

The Bundle Business strives to meet the highest standards when collecting and using personal information and we take each and every complaint very seriously indeed. We encourage everyone to bring to our attention any perception that our collection or use of information is unfair, misleading or in any way inappropriate or unnecessary. We also welcome any suggestions for improving our procedures.
